Pinterest marketing is one of the most time-consuming tasks in a business, which is why it’s often handed off to others – Pinterest Managers like me – so that business owners can focus on what they truly enjoy (and started their business for). But, if Pinterest is so time-consuming, how does a Pinterest Manager actually make money without working 24/7 or charging an arm and a leg? An amazing tech stack, that’s how. In short, there are a few essential tools for Pinterest Managers that just make our lives easier, and our work manageable.

The #1 tool I can’t live without – Tailwind. Tailwind is an official Pinterest partner and approved pin scheduler, meaning you can schedule pins through Tailwind without any type of ‘traffic’ punishment. Tailwind works by allowing you to schedule out your pins ahead of time instead of manually pinning every day. You can schedule out your week, month, or even three months in advance depending on your subscription level.
I use Tailwind for all my clients. It’s actually what allows me to take on multiple clients per month without becoming too overwhelmed with manually pinning. And as you know, Pinterest needs consistency and that means you can’t skip the weekends. With Tailwind, you can schedule the pins out ahead of time rather than having to pin through your weekend (and letting your work-life interfere with your home-life).
Tailwind is also rather affordable, so you can choose whether you would like to add the cost into your contract or require your clients to set up the account themselves. Personally, I require my clients to handle it themselves!

If you’re a business owner and you’ve never heard of Canva, I’m about to introduce you to the tool that’s going to make your life a lot easier! Canva is a simple, easy to use graphic design program that can be used to edit and create templates, marketing materials, and more. It has a library of stock photos as well as different features and elements to use to create images for your business.
Canva is my go-to program for creating Pinterest pin images for clients as they’re easy to duplicate and adjust depending on the blog and content of what I’m pinning.
Canva truly becomes one of the many essential tools for Pinterest Managers when combined with Pinterest pin templates. Pinterest pin templates are pre-made templates – usually made in Canva – that other can use to edit to their branding and pin to Pinterest. This saves time and prevents you from having to spend hours creating graphics. Instead, you just need a few minutes to edit said graphics!
While both Tailwind and Canva support your Pinterest systems, Dubsado is based more for your business backend. Dubsado creates your projects and houses your client information as well as invoices and contracts. You can even automate proposals, questionnaires, contracts & invoices respectively to potential clients on your website.
I use Dubsado for all my clients, especially since I work solely on retainer! The only downside is that although Dubsado allows for invoicing, they don’t have an option to set-up check-outs for digital products which can restrict your growth and limit your passive income. The system also doesn’t have a good recurring billing option, which leads to more late payments and issues as they get the invoice, must enter their info, and then you get paid.
To counter this, I use Dubsado paired with my next essential tool – Kartra – to catch whatever the other is missing and scale my management business that way!
Kartra is the tool that I stumbled upon thanks to Michelle Marina OBM from Two Paths Co. – and let’s just say it’s the tool that allows me to scale my business rather than staying at the point I’m at. Kartra is also the most expensive, but allowed me to consolidate some of the other programs I was paying for each month. For example, I was using Sendowl ($15) and Flodesk ($38) and was able to stop paying both in exchange for Kartra ($99) which handles both product creation and email marketing.
Additionally, Kartra gives me the ability to build out website pages and memberships for my business – both of which cost more money to host elsewhere but is included in Kartra. Overall, Kartra is probably my #1 essential tool for Pinterest Managers or really ANY business owner.
The key to scaling your online business is to find tools that work best for you – and to outsource tasks that take up too much time or are not what you want to do. When you’re first starting out, it doesn’t always make sense to outsource – which is why your tools are so important to your business and success.
